AVYCON Diversity ONE Privacy Policy

Privacy Policy of AVYCON Diversity ONE

At AVYCON, we respect and protect your privacy. We fully understand the importance of your personal information and are committed to handling it securely and responsibly. We comply with all applicable laws and regulations and follow proven industry security standards.

This Privacy Policy (“Policy”) explains in detail how we collect, use, process, share, store, and protect your personal information when you use our products and services. It also describes your rights regarding your personal information.

Please read this Policy carefully — especially any highlighted terms — and make sure you fully understand and agree to its contents before using our products or services. You may choose not to accept this Policy; however, we cannot provide our products or services to you without your consent. By choosing to use or continue using our products or services, you acknowledge and accept this Policy.

When you agree to this Policy, you acknowledge that we will collect certain personal information when required for specific features or scenarios. However, we will only collect and process personal information as described and necessary. For additional functions that involve non-essential personal information, we will request your separate consent. Some parts of this Policy may be technical — we have done our best to explain them clearly. Please contact us if you have any questions.

1. Scope of Application

  1. This Policy applies to all AVYCON products, mobile and desktop applications (including the AVYCON Diversity ONE App), cloud storage services, technical support, and any related services we provide (“products and/or services”).
  2. Personal information refers to any information recorded electronically or otherwise that can identify or relate to an individual, excluding anonymized data. The type and scope of information collected depend on the products or services you use and how you interact with us. You may choose not to provide certain information, but in some cases, this may limit our ability to provide specific products or services.

Face Data refers to images or facial feature information collected through facial recognition technology. This data is used only for authentication, visitor statistics, and related features — and only with your explicit consent.

  1. Some services may require certain device permissions. For example, the AVYCON Diversity ONE App may request permissions for location, camera, storage, or notifications. You can manage these permissions in your device settings at any time. Even when permissions are granted, we only access information necessary for specific features.
  2. To improve your experience, we may update or enhance our products or features. This may require collecting new types of information or changing how information is used. If so, we will clearly notify you through updates, pop-ups, or prompts and request your consent when required.

2. How We Collect and Use Your Personal Information

As described in the AVYCON Privacy Policy, we collect only the minimum information needed to provide our services and functions, and we do not use your information for any unrelated purposes. You voluntarily provide or authorize us to collect and use your information as follows:

(1) Registration, Account Login, and Verification

When you register or log in to your AVYCON Diversity ONE account, we require your email, password, and sometimes a verification code. Without this information, registration is not possible.

  • You may choose to add your country to receive localized services (such as local pricing). Not providing this will not affect basic account functions.
  • If you log in through a third-party account, we may access your registered email and country to link it to your AVYCON Diversity ONE account. If additional information is needed, we will notify you.
  • For services that require a AVYCON Diversity ONE account (such as cloud services), we may verify your identity with the information you provide.

(2) AVYCON Diversity ONE App and Client Services

Through the AVYCON Diversity ONE App, CMSONE, or browser, you can manage your devices remotely.

  • To link a device, we collect its serial number.
  • With your consent, we may access your device’s Wi-Fi SSID for setup, camera permission for QR code scanning, storage permission for saving media to your phone, and notification permission for alerts. You can disable these permissions anytime in your device settings.
  • If you enable email alerts, we collect your email and password solely to send notifications. This data is stored only on your device, not on our servers.

(3) Customer Support

When you contact our support team for help, we may collect your correspondence, account details, country, email, product information, and any evidence you provide to help resolve your issue.

(4) Security and Maintenance

To comply with legal obligations and protect your account, we may collect your IP address, system logs, usage data, crash reports, and performance data. This information alone cannot identify you unless combined with other data, in which case we treat it as personal information and protect it accordingly.

(5) Face Data

If you enable facial recognition features:

  • We may collect face images and facial feature data for unlocking devices, authenticating users, visitor statistics, or other approved purposes.
  • Face data is encrypted and stored securely on local devices or secure servers, and only retained while the feature is active.
  • You can disable facial recognition and delete your face data anytime in the settings.

3. How We Process, Share, Transfer, and Disclose Your Personal Information Processing

We may work with trusted third-party service providers to deliver certain functions. We share only the minimum necessary information and have strict agreements in place to protect your data.

Sharing

We do not share your personal information without your explicit consent, except as required by law or government authorities. Face data is never shared unless essential for providing a function and only with trusted partners under strict agreements.

Transfer

We will not transfer your personal information to other parties unless:

  • You consent explicitly.
  • A merger, acquisition, or bankruptcy requires transfer. In such cases, the new entity must comply with this Policy or obtain your consent.

Disclosure

We only publicly disclose your personal information if:

  • You consent explicitly.
  • It is legally required.
  • It relates to public safety, legal proceedings, national security, or other lawful scenarios listed in the Policy.

4. Your Rights

You have the right to:

  • Access or correct your personal information.
  • Request deletion under certain conditions.
  • Withdraw consent for non-essential data processing.
  • Cancel your account at any time.
  • Obtain a copy of your data.
  • Object to or restrict how we process your information.
  • Request an explanation if decisions are made solely by automated systems.
  • Contact us for help or complaints.

For California residents, you may request a list of third parties to whom we disclosed personal information for direct marketing in the previous year.

5. How We Store and Protect Your Personal Information

We use industry-standard security measures, including encryption, access controls, and secure servers, to protect your data. Video and face data are stored securely and encrypted. Data storage and backup are supported by trusted providers like AWS.

Despite our efforts, no system is 100% secure. If a security breach occurs, we will inform you promptly and report it to authorities as required.

6. International Transfers

We may store or process your information in other countries or regions, with appropriate safeguards to ensure protection equivalent to your local laws.

7. Cookies and Tracking

We use cookies and similar technologies to analyze usage, improve services, and measure ad performance.

8. Children’s Privacy

Our services are not intended for anyone under 18. If we learn that we have collected information from a minor, we will delete it promptly.

9. Updates

We may update this Policy occasionally. Continued use of our products and services means you accept the latest version. If we stop providing a product or service, we will notify you and handle your data as required by law.

10. Contact Us

If you have questions or concerns about this Policy or your personal information, please contact us at support@avycon.com. We will respond within seven business days.
